Job Description
Transaction Management Coordinator


·         Provides Transactional support to Transaction Managers and Brokers to ensure that the transaction execution is uninterrupted and is compliant with the Interstate Brokerage and Client requirements

·         Manages all listing and deal files in compliance to Real Estate regulations.

·         Responsible for preparing documentation for all stages of a real estate transaction: Co-broker agreements, Letter of Intent, Request for Proposals, review lease drafts, all under supervision of the transaction manager.

·         Leads market analytics reports which the team is responsible to provide to the client on a quarterly basis.



·         Assigns new listing numbers and creates files for all executed listing/commission agreements.

·         Verifies required documents per CBRE's policies and Real Estate guidelines by completing the File Checklist.

·         Enters all sales and lease information into the Company’s database according to the organization’s guidelines and procedures.

·         Using the real estate database and initiation/close out process, handles all data entry and updates on behalf of the Transaction Manager.

·         Prepares weekly reports, working closely with the Transaction Manager/Broker, for weekly calls with the client. After the call, updates the Real Estate Database to make sure all the latest updates and requirements are recorded and acted upon.

·         Analyzes real estate market information in different states, initiate collaboration with brokers of the state in which the transaction holds place, and provide the client with readable report (whether in excel or using proprietary data visualization tool).

·         Participates in business development process, when required, to prepare an analysis of rent paid by current client and identify if its in line with the market.

·         Assists in obtaining appropriate signatures/approvals and transferring all financial information to the Legal Department, Necessory Signatories, etc.  

·         Creates deal files and verifies required documents per CBRE's policies and Real Estate guidelines by completing the Deal File Checklist.

·         After every transaction is completed, prepares a deal billing file, identifies key information in the lease and remains the point of contact for Transaction Accounting to bill necessary commission amounts.

·         Assists Transaction Accounting in the process of collection and distribution of client’s commission payments.

·         Provides customer service to all sales professionals and transaction managers on the team

·         Other duties may be assigned.

Bachelors’ degree required; 3 years’ experience providing administrative/real estate support to multiple or team of professionals; ability to determine and respond to conflicting priorities required. 2 years’ experience in the Real Estate industry preferred.  

None required. To be able to grow within the role and follow a development plan for the role, candidate will have an opportunity to get a real estate Salesperson license in the state of Maryland


·         Ability to comprehend and interpret instructions, correspondence, and memos and ask clarifying questions to ensure understanding.

·         Be a self-starter, communicate and escalate when tasks are not being done due to a problem/ external delay etc.

·         Ability to analyze market reports and correspondence.

·         Ability to respond to common inquiries or complaints from clients, coworkers and/or supervisor, escalate where needed

·         Ability to effectively present information to an internal department and/or large groups of employees.

·         Show ownership of responsibilities and follows up effectively on tasks that are still outstanding.
